Focus Groups: Part 3.2 – Preparing to Recruit Participants

This article is part 3.2 of 6 in our series on focus groups and is the second step in preparing for recruiting the participants which introduces an invite card template.

Before we get to the recruiting process for focus groups, it is important that we are well prepared to ensure the process goes smoothly. Once participants agree to join a focus group, it is important that we communicate the information of the event. This article explains creating an invite card to give participants, and also includes an invite card template that can be downloaded.

Step 3.2 – Create the Invite Card for Participants

Once participants have signed up, we recommend giving them an invite card. While some may see this as an extra step that may not be required, this simple step increases the number of participants that show up! It can be quite disappointing to put so much time and effort into preparing for the focus group and recruiting the participants only for them to not show up. It can also be very difficult to run a successful and engaging group discussion without enough people present, which may have an effect on the quality of qualitative data collected from the session.

An invite card can be quite simple and doesn’t have to be extravagant or flashy. The purpose of the invite card is to provide the contact information of the facilitator in case participants have any questions, and to specify the time, date, and location of the focus group. We recommend having those 2 separate pieces of information on opposite sides of the invite card for clarity. It’s also nice to include a simple thank you to the participant, and to reaffirm that they will be receiving an incentive if applicable. Also, another great tip is to offer snacks and drinks – this little incentive can go a long way!
